Support backlog calculator: how long to clear your ticket queue
A backlog only shrinks by the difference between the tickets you close and the tickets that arrive. Enter your three numbers to see how long clearing it takes, or what pace you need to clear it by a date.
Working days to clear
35
Backlog shrinks by
7 a day
To clear it in 10 working days, the team has to close 79 tickets a day, 17 more than now.
Days to clear = backlog ÷ (closed per day − new per day). Closing tickets only helps if the same number don't arrive again, so a team that closes exactly as many as arrive never clears an old backlog.
Questions
How do you calculate how long a backlog will take to clear?
Divide the backlog by the number of tickets you close each day beyond the ones that arrive. With 240 waiting, 55 new a day and 62 closed a day, the backlog shrinks by 7 a day and takes 35 working days (240 ÷ 7 is 34.3, rounded up).
What if we close fewer tickets than arrive?
The backlog grows every day by the difference, and no amount of waiting fixes it. You need either more capacity, fewer tickets (answer the repeat questions in a help center or with saved replies), or both.
Which tickets count as the backlog?
Tickets that are open and waiting for your team. Leave out tickets pending on the customer, because there is nothing for you to do until they reply.
Is a backlog always bad?
A small queue is normal. What matters is whether it's stable and how old the oldest ticket is. A backlog that grows week after week, or one with tickets weeks old, means work arrives faster than it leaves.
How do we clear one faster?
Raise the daily closes for a stretch (borrow help, pause lower-value work), and cut new arrivals by answering the top repeat questions once in a macro or help article. Then check the pace again with the numbers from the last week.
