First reply template builder for customer support
A first reply sets the tone for the whole conversation. Pick the kind of message and the tone, copy the skeleton and fill in the brackets.
Your first reply
Hi [first name], Thanks for reporting this, and sorry for the trouble. I have passed [what you saw] to our team. Could you tell me [one detail we need, such as the steps or the device]? That helps us find it faster. I will update you within 2 business days. Thanks for your patience, Sam, Acme
Fill in the [brackets] before you send. A first reply that answers the question beats a fast one that does not.
Questions
What makes a good first reply?
It shows you read the message, answers it or says exactly what happens next, and asks for only what you need. Speed matters, but an answer matters more.
Should the first reply always apologise?
Only when something went wrong. For a plain question, a thanks and the answer is enough. An apology on every reply stops meaning anything.
How long should a first reply be?
Short enough to read on a phone. If you need more than a few short paragraphs, link an article for the detail.
Is it fine to use a template?
Yes, if you fill in the brackets and read it as the customer would. Templates fail when they answer a question the customer did not ask.
Can Flatdesk store these as saved replies?
Yes. Paste the text into a macro with placeholders, and agents can insert it from any ticket.
