Support handoff note generator for shift changes and escalations
A handoff note saves the customer from repeating themselves. Fill in the facts the next agent needs and copy a short note into the ticket.
Your handoff note
Handoff: Dana Lee (#4021) Issue: Invoice shows the wrong plan Already tried: - Checked the billing record - Re-sent the invoice Told the customer: A reply by the end of today Next step: Ask finance to correct the invoice, by 5pm
Questions
What belongs in a support handoff note?
Who the customer is, what the issue is, what has been tried, what the customer was told and what the next person should do by when. Nothing the next agent would have to ask.
Why include what the customer was told?
Because the next agent has to keep the promise. A missed promise made by a colleague still lands on your team.
How long should a handoff note be?
A few lines. If it needs more, link the ticket and keep the note to the facts that change what happens next.
When should an agent write one?
At every shift change, every escalation and every time a ticket moves to someone else. It takes a minute and saves the customer repeating themselves.
Can Flatdesk keep these notes?
Yes. Flatdesk has internal notes on each ticket and assignment, so you can paste the note there and assign the ticket to the next person.
