Saved reply time savings calculator: what macros give back
Saved replies only help if they replace real typing. Enter how many repeat replies you send and how many seconds each one saves to see the hours and money they give back.

Saved replies pay back fastest on the five or six questions you answer every day. Review them every quarter, since an out-of-date saved reply costs more than it saves.
Questions
How much time do saved replies save?
It depends on how many repeat questions you get and how long they take to write. If 60 replies a day each save 90 seconds, that is 90 minutes a day, or about 30 hours in a 20-day month.
How do I measure the seconds saved per reply?
Time a handful of replies written from scratch and a handful sent from a saved reply with a quick edit. The difference, averaged, is your number. Be honest about the editing time.
Which replies make good saved replies?
The questions you answer every week with nearly the same words: password resets, billing dates, how to export data. Rarely used or very personal replies are not worth the upkeep.
Can saved replies make support feel robotic?
Only if they are sent unedited. Write them in your normal voice, start with the customer's name and add a line that answers the specific question.
How is this different from AI drafts?
Saved replies are fixed text an agent chooses. AI drafts are written for each ticket. Many teams use both: saved replies for the exact repeats and AI for the rest, with an agent checking each answer.
