Support customers through annual plan renewals

Annual renewals concentrate billing questions and cancellations into a few weeks. A short plan keeps them from becoming surprises.

Remind customers before they are charged

Send a reminder a month and a week before renewal that states the date, the amount and how to change or cancel. Surprise charges become chargebacks.

Prepare the replies you will need

Write answers for price questions, invoice requests, seat changes and cancellation, and load them as macros.

Be clear about refunds

State your policy for a renewal the customer did not expect. A clear rule is easier to apply fairly.

Spot at-risk accounts early

Tag tickets from accounts renewing soon and check them. Unresolved problems before a renewal are the best predictor of a cancellation.

Follow up after the renewal

Thank customers who renewed and ask those who left why. Both answers improve the next cycle.

Questions

How early should we remind customers about a renewal?

Around a month before and again a week before. Include the date and amount in both.

Should we refund a renewal customers forgot about?

Decide in your policy. Many teams refund within a short window and ask the customer to switch off auto-renew if they do not want it.

What if a price changes at renewal?

Tell customers well before, say what they get and offer a way to change plan.
