Handle a customer's data export request

Customers ask for their data when they leave, switch tools or want a record. A clear routine makes the request quick and safe.

Confirm who is asking

Check the request comes from an account admin before you send anything. Data in the wrong hands is worse than a slow reply.

Agree what and in which format

Ask what they need: tickets, contacts, attachments or everything. Offer a standard format such as CSV so you are not building something new each time.

Say when they will have it

Give a date, not a vague promise. If your process takes a few days, say so up front.

Deliver it safely

Send a time-limited download link to the admin address rather than attaching files to email.

Log the request

Tag the ticket and note what was sent and when, so the next request is quicker and you have a record.

Questions

Do we have to provide a data export?

Rules differ by country and contract. Check your terms and privacy policy, and ask a lawyer where unsure.

Can we charge for an export?

Only if your policy says so. Many teams include one export free.

How long should it take?

Give a firm date and keep it. A few working days is common for a manual process.
