Handle a billing email change request

Finance teams often ask to move invoices to a shared address. A short verification step keeps invoices from reaching the wrong person.

Last reviewed

Confirm the request is genuine

Check it comes from an admin or the account owner, not an unknown sender.

Ask for the exact address

Get the full address and whether it replaces the old one or adds to it.

Check for a shared mailbox

If it is a group address, confirm it can receive attachments and links.

Update and send a test

Change the address and send a copy of the latest invoice to it.

Confirm in writing

Tell them what changed and which invoices will go to the new address.

Mention past invoices

Say whether earlier invoices can be resent on request.

Questions

Do we need proof for this change?

A message from an admin on the account is usually enough. Ask for more if the request looks unusual.

Can we add a second address instead?

Yes, if your billing setup allows copies. Ask which they prefer.

Will old invoices go to the new address?

Only if you resend them. Offer that.
