Explain an invoice to a confused customer

Most invoice questions are not disputes. The customer just cannot tell what they were charged for, and a clear explanation ends the ticket.

Last reviewed

Open the invoice before you reply

Read the same document the customer sees so you can point to specific lines.

Explain each charge in plain words

Name the plan, the seats, the period and any proration or tax. Skip internal terms.

Fix real mistakes fast

If the invoice is wrong, say so, correct it and tell them when the credit or refund will arrive.

Show where to find it next time

Link to the billing page or invoice history so they can check without writing in.

Improve the invoice itself

If the same line confuses many people, change its wording or description at the source.

Questions

Should we send a screenshot?

A link to their invoice page is safer. If you send an image, remove other people's details.

What if the charge is correct but unexpected?

Explain it without defending, then offer the options your policy allows.

How do we cut these tickets?

Add a short billing explainer to the help center and use clear line descriptions.
